Project Overview
This project focuses on building a complete outbound sales system tailored for a Dubai-based real estate brokerage. The system is designed to drive immediate results through live outbound calling, while laying the groundwork for long-term scalability through team training, SOPs, and lead management infrastructure.
Over the course of one intensive week, our team will work on-site to personally handle outreach to a pre-qualified list of over 500 leads. This phase includes script creation, A/B testing across buyer personas and regions, CRM setup, and daily performance reviews, allowing us to optimize messaging based on real call outcomes.
In parallel, we will spend dedicated time with the client to understand their brand positioning, communication tone, and market presence. This ensures that all scripts, follow-ups, and training materials are aligned with the brokerage’s unique voice and credibility goals.
By the end of the project, the brokerage will have a proven outreach strategy, a trained internal team, and a replicable system for lead engagement, including custom playbooks, messaging templates, KPI structures, and the option to onboard a dedicated setter that we recruit for ongoing outreach.

Business Deep Dive & Positioning
1-on-1 discussions with the founder to capture:
Brand voice and how you want to come across on calls
Past experiences in the Dubai market and current challenges
Specific preferences for tone, urgency, and deal pacing
An understanding of:
Your ideal customer profiles (investors, families, relocators, etc.)
Your top differentiators and credibility points
Any phrases or angles you do or don’t want your team using
A defined positioning summary that guides all messaging:
Scripts, follow-ups, WhatsApp messages, rebuttals, and tone
This step ensures that every touchpoint, from first call to close, feels consistent with your brand, your experience, and the way Five Sparkles wants to build it's longterm clients.
2. Buyer Persona Mapping & Regional Scripts
We’ll build 3 to 5 customized cold call scripts based on your most common lead types, including regional tone adjustments, buyer intent, and cultural nuance. This includes:
Persona breakdown for each major buyer segment:
Investors vs. end-users
Regional/cultural tone (e.g. Gulf buyer vs. European buyer vs. North American buyer)
Lead source-specific behavior (e.g. Property Finder vs. Bayut vs. mortgage portal)
For each script, we’ll write:
Multiple A/B tested openers that match the platform, urgency level, and persona
Rapport-building phrasing tailored to region and culture
Flexible transitions for different objection paths or buyer questions
Scripts are built to sound human, no robotic intros or generic one-size-fits-all messaging. They are meant to be a blueprint and not something followed robotically.
3. CRM & Lead Tracker Setup
We’ll build you a easy-to-use system to help you manage and follow up with leads properly.
This setup will include:
Lead categorization: cold, warm, hot, with notes on urgency, objections, and next steps
Fields to track:
Source (e.g., Property Finder, WhatsApp inquiry)
Region/country
Buyer type (investor, end-user)
Timeline, deal value, and status
Last touchpoint + next follow-up date
Status labels like “Needs Follow-Up,” “Viewing Booked,” “Waiting on Budget,” etc.
Call result dropdowns for speed + consistency
Everything will be structured in a way that you or a future sales reps can quickly update after each call, no unnecessary complexity, just a clear view of your pipeline at all times.
4. WhatsApp & Email Follow-Up Templates
We’ll create a bank of follow-up messages tailored to each lead’s region, intent, and stage in the pipeline. This includes:
Templates per region (e.g., GCC, Europe, Asia) up to 6 followups
Sequences for:
First follow-up
Re-engagement (if no reply)
Final soft-touch check-in
Templates will be written for both WhatsApp and email
Every message will feel natural and relationship-driven, without being pushy or aggressive
Each follow-up will be linked to what the buyer said in the initial call (e.g., “you mentioned you’re planning to visit Dubai next month”) and matched to cultural tone norms. Our SOP will also define when each follow-up should be sent based on region and call outcome, so your team knows exactly how to time communication and keep leads warm.
5. Live Outbound Calling
For the first 500 leads, we’ll personally handle 100% of the cold outreach to give you real-world insights and momentum.
All calls will be conducted by our team directly, from your office or remotely
We’ll document every conversation outcome, objection, tone, and conversion opportunity
The goal is to build authentic rapport, not hard-sell, and get real signals from buyers
Conversations will shape what your future setters say, how they say it, and what they avoid
This phase also allows us to test and refine tone, scripts, and objection handling in a real setting before handing it off to your internal team or future setters. That way they will be trained on real life experience from our end rather than theory.
6. Daily Reporting & Qualitative Insights
Throughout the live calling phase, we’ll compile structured reports at the end of each day covering both data and human insights.
Breakdown of call outcomes segmented by region, buyer type, and lead source
Notes on recurring objections, hesitation points, and common buyer questions
Commentary on what script angles or tones built trust — and what fell flat
Rapid feedback loop to improve scripts, transitions, and persona-specific responses
All insights will feed directly into the SOPs, follow-up systems, and objection library
This ensures the sales strategy evolves in real-time, based on what buyers are actually saying and responding to.
7. Objection Handling System (Rebuttal Library)
We’ll document the most common objections encountered during calls, across regions, buyer types, and deal stages, and write effective rebuttals for each one.
Clear, situational responses for common hesitations like “just browsing,” “need to check with family,” or “I’ll think about it”
Strategic language that builds credibility and gently guides the buyer forward (e.g. viewing, info request, WhatsApp follow-up)
Regionally sensitive phrasing to avoid cultural friction
Tone-matching examples to help reps respond without sounding pushy or overbearing
The final playbook becomes a live tool your team can reference in real time, especially for newer reps.
8. Training Materials & SOPs for Internal Team
We’ll package the full sales process into an internal knowledge base your team can use for onboarding and daily execution.
Sales call scripts tailored by region and buyer intent
Follow-up message templates (WhatsApp + email) mapped to specific buyer scenarios
SOPs for lead logging, pipeline updates, and daily call structure
Setter KPIs: suggested daily call volume, conversion benchmarks, lead status definitions
Reference sheet for tone, objection handling, and call etiquette
This ensures your team can operate consistently without needing constant supervision, and any future hires can plug in quickly.
9. Setter Recruitment & Onboarding
Once the system is validated and running smoothly, we’ll help you bring in a full-time setter to continue the outreach process.
Source and screen qualified setter candidates (local or remote)
Train selected setter using your new call scripts, CRM flow, and tone guidelines
Provide 2–3 days of shadowing and live support to ensure a smooth handoff
Create a tailored onboarding checklist for future hires
This lets you scale sustainably, without losing the quality or structure we’ve already put in place.
